Diagnostic archival as an evaluation tool in document management

This article has the objective of researching the efficiency and the contribution of diagnostic archival in document management within the archive subject of this research. Since this tool identifies and points out possible shortfalls and gaps in processing and storing the acquis researched, it is possible by means of data survey, to propose actions that may benefit the information recovering process, caring and maintaining documents that are part of any public or private institution. In fact, this article is based on archival practices as it studies archive functions and brings about theoretical and practical basis referring the relevance of diagnosis as a tool that makes possible to process information that was generated, registered and stored. To prove the efficiency of this tool hereby is presented a case study of an institution in which the information area coordinator created a document management project and applied diagnostic archival in order to identify and evaluate documents that were not dealt with for years. Therefore, the objective of this research was reached and shows the results of applying this tool which was essential in the evaluation of the whole documental process flow, furthermore, disclosed in a precise way the actual situation of the material archive, providing needed solutions to implement document management suitable to the institution, specially making information available to end users in an effective and efficient way.Downloads
